Patient Intake Specialist
Position Summary:
The Patient Intake Specialist is responsible for being the main point of contact for inquiring patients, educating prospective and existing patients regarding TMS or Spravato treatment, verifying insurance coverage, and tracking incoming prospective patients to coordinate the authorization process. The Patient Intake Specialist – Evaluation Focused, will perform all the job responsibilities of a Patient Intake Specialist, with more of an emphasis on conducting robust patient evaluations of prospective patients for clinicians to review to assess their candidacy for treatment. The Patient Intake Specialist will be responsible for updating and maintaining patient charts in the EMR/EHR system. The Patient Intake Specialist will work in a key role to drive the growth and success of Clearwave.
Duties and Responsibilities:
- Patient Intake
- Become subject expert on Transcranial Magnetic Stimulation and Spravato to better assist inquiring patients.
- Become the main point of contact for prospective patients reaching out for TMS and Spravato treatment.
- Answer all calls to educate prospective and incoming patients regarding TMS and Spravato treatment and insurance verification.
- Schedule and conduct intakes for potential TMS and Spravato patients and submit prior authorization forms to insurance providers.
- Track incoming prospective patients and coordinate the patient authorization approval process.
- Organize and manage patient requests and track/report to management on a weekly basis.
- Update and maintain patient charts in the EMR/HER system.
- Provide friendly customer service to all patients (and potential patients) in-person and over the phone.
- Ensure all patient information is secure and that all communications and disclosures are HIPAA compliant.
- Perform any other tasks or responsibilities as needed and communicated by the Executive Team.
- Patient Evaluation
- Conduct comprehensive assessments of new patients to determine candidacy and safety for interventional treatments.
- Review symptom history, treatment history, family history, and relevant social/medical factors to support clinical decision-making.
- Collaborate with internal teams to ensure patients can begin treatment in a timely manner.
- Communicate with external provider offices, pharmacies, and medical centers to obtain necessary medical records.
- Assist with insurance-related issues and clearance as needed.
- Work directly with the Patient Intake Manager to streamline intake process.
- Partner with psychiatrists, therapists, and other clinical staff to support patient care.
Job Qualifications:
- Bachelor’s Degree preferred.
- 2+ years experience as a medical services technician preferred.
- Experience with direct patient care and patient interactions required.
- Proficiency in Microsoft Word and Excel is preferred.
