Front Desk Coordinator (Athletics & Physical Therapy)
Pay: $15.00 – $18.00 per hour (based on experience)
Full-Time / Part-Time Available
Position Overview
Pryde Athletics & Physical Therapy is seeking a high-energy, organized, and professional Front Desk Coordinator to oversee the daily scheduling and front office operations for both our Physical Therapy and Athletic Performance departments.
This role is the first and last impression of our brand. The Front Desk Coordinator is responsible for ensuring a seamless experience from a patient or athlete’s initial phone call through completion of their treatment or training plan.

Key Responsibilities
Patient & Client Communication
- Answer multi-line phone system and direct calls appropriately
- Respond to inquiries regarding Physical Therapy, Personal Training, Classes, and Recovery services
- Call patients/clients to confirm and remind them of upcoming appointments
- Handle medical record requests in a timely and compliant manner
Scheduling & Office Coordination
- Manage and optimize both Physical Therapy and Athletic Performance schedules
- Schedule new evaluations, follow-ups, training sessions, and classes within Pompt EMR
- Maintain strong patient flow between PT and Performance departments
- Coordinate with clinicians and coaches to ensure efficient daily operations
Intake & Documentation
- Greet patients and athletes with professionalism and enthusiasm
- Provide intake paperwork, new patient forms, and required policy documentation
- Collect and verify insurance information
- Maintain hard copy records and electronic health records (EHR)
Financial & Administrative
- Collect co-pays and payments for services
- Process uninsured visits
- Assist with basic medical billing tasks (if applicable)
- Support supply ordering and inventory management
Marketing & Community Engagement
- Assist with light social media marketing (posting, event promotion, engagement)
- Promote current programs, membership options, and upcoming events
- Provide patients and athletes guidance on services that best fit their goals
Required Qualifications
- High School Diploma (required)
- 1–2 years Front Office experience (medical setting preferred)
- 1–2 years experience using Microsoft Word and Excel
- Experience with computerized patient scheduling systems
- Strong ability to multitask in a fast-paced environment
- Excellent communication and customer service skills
- Friendly, professional, and team-oriented personality
Preferred Qualifications
- Prompt EMR experience
- Medical Billing experience
- CMAA certification
