Client Services Representative

Far West Center is an award-winning community mental health center serving residents of Cuyahoga and Lorain Counties. We offer an excellent opportunity for talented individuals seeking a full-time position as:

I . CLIENT SERVICES REPRESENTATIVE - RESPONSIBILITIES

  • Provides front desk coverage during all hours of operation.
  • Greets clients, visitors and guests with professional, respectful and efficient demeanor at all times.
  • Schedules client appointments electronically according to Center standards, interacting with direct service providers to assure accuracy and completeness.
  • Completes and verifies new client chart documents, fee agreements, and related forms with clients.
  • Enters new and revised client data into electronic health record. Reviews client information at each visit and updates any changes in the system.
  • Assures accurate and complete electronic or manual data entry, including all new client enrollment documents, screening surveys, history forms, and outcomes questionnaires.
  • Accurately collects and records co-payments and related client fees or payments as required.
  • Completes all required annual renewals of client, including demographic, payor and consent forms.
  • Receives and routes phone calls accurately and efficiently.
  • Assists with Medical Records Room functions including, but not limited to, compliance with HIPAA standards for confidentiality; retrieving/filing charts; processing records requests; correspondence filing; offsite record storage, and related functions.
  • Assists in maintaining Record Room in organized, secure manner at all times.

  • Troubleshoots office equipment problems and reports unresolved problems to supervisor.
  • Maintains office, waiting area, and other client common areas in neat, orderly condition.
  • Assists with other duties related to safety and security, efficient office operations and client satisfaction.
  • Collaborates with the Intake Office and the Billing Office.
  • II. DOCUMENTATION RESPONSIBILITIES OF THE CLEINT SERVICES REPRESENTATIVE 
    Completes all required documentation accurately and on time.
  • Major data and documentation responsibilities include but are not limited to: client data entry; client- or provider-related typing, forms or spreadsheet creation; client record forms, new client admission packets; other forms, reports and/or projects as required.
  • III . QUALITIES AND ATTRIBUTES OF THE CLIENT SERVICES REPRESENTATIVE
  • Upholds customer service standards of excellence and courtesy.
  • Maintains a positive, business-like presence at all times when interacting with clients, visitors, guests, and staff
  • Polished verbal, written and interpersonal communication skills. Interacts with other professionals, agencies, and the general public with respect and propriety.

  • Identifies ideas which contribute to overall office efficiency, quality and customer service.
  • IV. QUALIFICATIONS FOR THE CLIENT SERVICES REPRESENTATIVE
  • High School Diploma. Associates’ degree in business or health information preferred.
  • Three years’ recent experience in related healthcare office environment.
  • EHR proficiency required.
  • Knowledge of medical terminology highly desirable.
  • PC proficiency required. Skilled in Microsoft Office.
  • Reports to Manager of Outpatient Services, or designee.
