IT Project Coordinator

Summary of Role
The IT PMO Project Coordinator is responsible for providing support necessary to the Information Resources Program Management Office for effective program and project operations. This includes scheduling and coordination of calendars across multiple projects, coordination and planning of events, supporting travel arrangements as needed, creating and executing strategies for onboarding new team members that result in a positive onboarding experience, leading or supporting communications with the PMO and project teams as well as organizationally throughout CROPP. In addition, the IT PMO Project Coordinator is able to anticipate other areas of support as they arise.
Essential Duties and Responsibilities
o Manage day-to-day administrative operations of the IT PMO
o Compile project status updates, create presentations and other project related communication
o Spearhead the planning and scheduling of off-site meetings and retreats
o Manage complex calendar and scheduling requirements
o Coordination and planning of domestic and international travel, including organizing trip agendas and local logistics
o Coordinate and enhance communications by working with IT Program Manager and Communications team
o Maintain PMO webpage on CROPPie and assist with updates
o Partner with IT Directors and other leadership to develop messaging for key communications from the PMO
o Maintain confidentiality, and use diplomacy and tact in dealing with sensitive issues
o Work across the organization at all levels with professionalism and collaboration
o Function as a member of the PMO
o Support budget and invoicing operations of the PMO
o Maintain or support multiple project plans in Microsoft Project or Excel as needed
Additional Duties and Responsibilities
o Compile, transcribe and distribute meeting minutes as needed
o Plan and schedule meetings and training sessions as needed
o Other duties as assigned by IT Program Manager
