Program Assistant/ Health Information Specialist

As a Program Assistant/Health Information Specialist you will be instrumental in maintaining client files and submitting the mental health billing for all clients within your assigned program. Our Program Assistant/Health Information Specialist collaborates with clinicians and counselors to coordinate coverage among the administrative team and to compile, update, and organize all documentation for the clients within their program. This is an administrative role that utilizes a high level of analytical, computer, and communication skills.

Responsibilities

  • Answer department phones, maintain purchase orders, and process mail for the department.
  • Maintain and update agency documents, manuals, and department files.
  • Coordinate projects and special events as instructed by the Program Director.
  • Create and maintain client records. 
  • Monitor and track required Medicaid documentation and eligibility.
  • Conduct Quality Assurance review of all administrative, clinical, and medical documentation. 
  • Process client placement change requests and receive client documentation.
  • Use document tracking tools to report chart status and communicate with the clinical team.
  • Complete all Mental Health billing, resolve billing related issues, and ensure timely submission of invoices for Non-Medicaid clients.
  • Prepare discharge charts for off-site storage.
  • Ensure appropriate and timely distribution of Incident Reports.
  • Update program attendance and process requests for client reports when needed.

Qualifications

  • Bachelor’s degree required
  • At least 21 years of age
  • Excellent organizational, analytical, computer and communication skills
  • Ability to prioritize projects
  • Valid California driver’s license and insurability through Seneca’s automobile policy
  • Clear TB test, health screening, criminal background check, and any other mandatory State or Federal licensing and certification requirements
  • Proof of COVID-19 vaccination

Schedule

  • Monday through Friday, 9am - 5:30pm
