Operations Associate

Buckelew Programs, a leading provider of mental health and addiction services in the North Bay, is seeking a full-time Operations Associate to join our Administration Team. As an integral part of Administration, you will be responsible for facilities support and maintenance including vendor management and safety, as well as operational/administrative support to programs throughout the agency and in multiple counties. This is a full-time position with excellent benefits. Pay rate is $27.50 - $29.50.
 
ESSENTIAL DUTIES AND RESPONSIBILITIES:
 
  1. Works with the Director of Operations to refine and maintain agency procurement policy and procedure, which may include researching prices and purchasing major items based on best price commensurate with quality and/or volume. Communicates and negotiates with vendors and outside sales representatives. Maintains invoices, files and other related records.
  2. Works with various staff to maintain, update and distribute an org-wide preferred vendor list to provide best value and ensure vendor compliance with contracts. Manages and directs the engagement process with vendors in a fair and legal manner.
  3. Coordinates and maintains multiple online vendor procurement platforms related to services/supplies used across the organization.
  4. Purchases and assists in the distribution of supplies, as well as monitors office supply needs. Maintains corporate office supply/copy rooms and conference spaces in a neat and orderly manner.
  5. Provides support and coordination for capital projects identified by the Director of Operations. Work with program and finance staff to ensure compliance with budgets and contract terms on approved capital projects.
  6. Provides coordination of vehicle fleet as liaison to company vehicle users and maintains online fleet platform.
  7. Provides administrative support to Program Directors and staff for general operations of residential and commercial facilities (i.e., insurance certificates, records storage, business licenses, etc.).
  8. Retrieves, opens and routes mail for administrative offices on a daily basis. Accounting responsibilities including opening and routing accounts payable mail, logging all checks and managing petty cash for the Administrative offices.
  9. Serve as Safety Coordinator for selected administrative offices leading safety orientations, monthly drills, participating on the Safety Committee and completing all related activities and assignments at the direction of the Safety Committee Chairperson. Works with supervisor to maintain record of agency safety initiatives, drills, trainings, etc. and ensure all agency safety protocols are followed.
