Accounting Assistant

Actual Films, an independent documentary production company located in San Francisco’s Presidio Park, is looking for a self-directed, detail-oriented individual to join our finance team as an Accounting Assistant. Responsibilities include reviewing and reconciling accounts, processing payments to external partners, and maintaining updated records of invoices and receipts. To be successful in this role, you should have relevant bookkeeping experience, be a quick learner/good listener and have strong attention to detail. There is an opportunity for increased responsibility over time. This position reports directly to the Director of Finance/Accounting and will be in Petaluma 1-2 days a week, and in office in SF 1-2 days per week.


 

Non-exempt

$35 - $48/ hour commensurate with experience


 

Responsibilities Include

  • Entry of all vendor bills and identify and address discrepancies
  • Invoice customers and send reminders to ensure timely payments·
  • Reconcile vendor statements to internal records
  • Troubleshoot problems with invoices
  • Maintain digital and physical filing system
  • Report on the status of accounts payable and receivable
  • Update internal accounting databases and spreadsheets
  • Perform bank and credit card reconciliations
  • Process bank deposits
  • Reconcile accounting reports and schedules in Excel
  • Prepare and input journal entries into accounting software
  • Process invoices and daily transactions and expenses
  • Perform administrative support functions
  • Update and maintain accounting database with data entry and reports
  • Handle monthly and quarterly reports
  • Handle day-to-day accounting duties including Accounts Payable and Biweekly payroll
  • Assist with special projects

 

Requirements Include

  • Knowledge of bookkeeping procedures
  • Ability to work unsupervised and problem solve
  • Proficiency in accounting software (e.g., QuickBooks) and MS Office/Google Suite with a willingness to learn
  • Solid data entry skills with an ability to identify numerical errors
  • Good organizational and time-management abilities
  • Outstanding communication and interpersonal abilities
  • Self-motivated individual who is reliable and trustworthy
  • Strong interpersonal and communication skills
  • Proven experience as an administrative assistant, bookkeeper, or in a similar role.
  • Strong organizational and multitasking skills.
  • Excellent communication skills, both written and verbal.
  • High level of accuracy and attention to detail.
  • Associate's or Bachelor's degree in Business Administration, Accounting, or related field is a plus.
