Accounting Representative (Accounts Receivable)

Responsibilities

The Accounting Representative is responsible for maintaining accounts receivables for both FSU/The Ringling and the John & Mable Ringling Museum of Art Foundation in compliance with Generally Accepted Accounting Procedures to include audit, reconciliation or accounting work papers, and financial transactions.

Typical tasks include:

  • Verifies, reconciles and completes journal entries supporting the daily revenue for the Museum Store, Admissions, and Historic Asolo Theater Box Office. Generates reports in Counter Point and Tessitura to reconcile daily revenues. Tracks the Box Office receipts by performance.  Prepares DOL forms and submits to FSU. Reconciles and posts FSU Foundation CRM revenue batches in the Financial Edge system.
  • Makes daily cash deposits for membership, fundraising events, invoice payments and donations. Ensures proper routing to gift/membership/fundraising processors. Creates membership/gift batch sheets for updating donor records in FSUF for Ringling Foundation donations.
  • Serves as back-up for the monitoring and review of FSU and Ringling Foundation P-card Purchases. As the FSU P-card proxy, enters coding information in Omni and prepares monthly reconciliations, obtaining required approval signatures. May review Ringling Foundation travel expenses.
  • Pulls Windcave revenue reports. Reconciles the report with sales in Tessitura. Audits Tessitura revenue & online sales. Reconciles Tessitura sales reports to deposits and other general accounting reconciliations and journal entries.
  • Serves as a back-up for others in the Accounting department for any necessary budgetary functions and other fiscal related duties as needed. Performs other duties as assigned that support the department and operations of the museum.

Skills important to this role include:

  • Generally Accepted Accounting Principles (GAAP)
  • Applicable computer applications and basic computer functions to include Microsoft Excel
  • Ability to:
    • Perform accurately in a detail-oriented environment.
    • Meet project deadlines.
    • Prioritize and organize work assignments.
    • Establish and maintain effective working relationships.

Qualifications

  • Bachelor's degree or a combination of post high school education and experience equal to four years.
    • (Note: higher education can substitute for experience at the equivalent rate.)

Considerations

Rate of Pay: The rate of pay will be commensurate with the education, skills, and experience of the selected candidate. Find out more about our comprehensive benefits package under the "FSU Total Rewards" section. 

Working Hours: Monday - Friday from 8:00 AM to 5:00 PM with a one-hour meal period.  

  • This position is based in Sarasota, FL.
  • This is a USPS position and is eligible for a hybrid work schedule.
  • This position requires successful completion of a criminal history background check to include fingerprinting.
