Receptionist

Job description

The Receptionist is often the first staff person to meet and greet clients, potential clients, client collateral contacts, referral sources, the community and other staff via telephone or in-person at the BPMHC offices. He or she is key in providing a positive, welcoming first impression of the agency, identifying individual’s needs, identifying which program(s) might be best for meeting their needs and in linking them with Beacon Place Staff to provide the needed services.

Evening and weekend hours are available.

Responsibilities and Duties

· Greet participants, guests and others in a cheerful and cordial manner to help them feel welcome.

· Answer telephone calls in a cheerful, cordial manner. Fill out inquiry form accurately, obtain caller’s contact and other necessary information, take and disseminate messages in an accurate and timely manner, ensure transferred phone calls and/or messages are connected with the correct staff member.

· For persons requesting mental health services at BPMHC, obtain an intake and pre-screening forms with complete and accurate information including need for service(s), availability for appointment times, which office location they wish to receive services from (New City or Highland Mills), how they heard about Beacon Place, obtain insurance information including demographics and a copy of the insurance card and insurance phone number.

· Strictly follow all protocols of BPMHC to complete the initial pre-admission screening client risk assessment questionnaire and follow up processes dependent upon client responses. Process immediately with the Executive Director or other designated clinician any client responses to the prescreening risk assessment that indicates a raised risk for suicide, self-harm, harm to others or homicidal thoughts.

· Flag and process with priority any clients identified as coming to BPMHC or being referred directly to BPMHC from Assisted Outpatient Treatment, forensic, emergency or inpatient settings.

· Collects deductibles, coinsurance and/or copays for psychiatry and mental health sessions and, when indicated takes payments for virtual Psychiatry appointments in advance. Processes payments received by mail or phone.

· Schedule clinician’s counseling, psychological and medical appointments with clients.

· Accurately tabulates client account balances and charges, investigates and resolves billing errors and omissions, processes accounts receivable for review by Assistant Executive Director or Executive Director.

· With prior review and approval by the Assistant Executive Director or Executive Director, will send client monthly invoices.

· Retain composure and remain calm in interactions with clients and other agency contacts, comfort clients by anticipating clients’ anxieties, answering client’s and other contacts’ questions as the agency’s first point of contact.

· Consistently demonstrate person-centered interactions with all contacts including but not limited to clients, potential clients, client collateral contacts, contacts from other community agencies, the community in general, students, and all BPMHC staff.

· Maintain the waiting areas to assure tidiness and cleanliness at all times. Sanitizing duties may be included in this to assist in preventing the spread of illnesses.

· Accurately and appropriately file client information in client’s charts.

· Maintain confidentiality

· Typing and scanning as directed by Assistant Executive Director or Executive Director

· Assist Owner, Executive Director or Assistant Executive Director as requested on other projects and work tasks.

· Other duties as assigned.

Pay: From $16.00 per hour
